Terms of Service

The terms that apply when your organisation uses Cohort to recruit.

01About these terms

These terms govern your use of Cohort, a recruiting tool provided by Protocol AB ("we", "us"). By creating an organisation or otherwise using Cohort on behalf of an organisation, you accept these terms for that organisation and confirm you are authorised to do so. Candidates who apply through Cohort are covered by the CV processing notice shown before they upload a CV.

02The service

Cohort lets organisations publish jobs, collect applications and have each CV analysed automatically against the requirements of the job. Scores and explanations support your review; a person at your organisation makes every hiring decision. Cohort is in closed beta and features may change.

03Accounts and organisations

You sign in through our login provider and must keep your credentials secure. The person who creates an organisation becomes its owner and can invite members and manage their permissions. You are responsible for what members of your organisation do in Cohort.

04Credits and payment

Scoring a CV uses one credit. Failed attempts and scores reused from an identical CV are free. Your plan’s credits arrive each month and are shared by your organisation; unused ones carry over for one month. Payments are handled by Polar, our merchant of record, who charges VAT where it applies and issues receipts and invoices. If you turn on auto-refill, you authorise the amount you choose to be charged to your saved payment method when your balance runs low, up to any monthly limit you set, for credits at your plan’s monthly price per credit; these credits do not expire. Purchased credits are non-refundable except where the law requires otherwise.

05Acceptable use

You must use Cohort lawfully and only for genuine recruitment. You may not use it to discriminate unlawfully against candidates, upload content you have no right to process, attempt to access other organisations’ data, interfere with the service, or reverse engineer or resell it.

06Your data

Your organisation keeps all rights to its jobs, applications and notes. When we process candidates’ personal data for you, we do so as your processor under the Data Processing Agreement, which forms part of these terms. You are responsible for having a lawful basis for your recruitment and for how you use the results.

07Automated analysis

CV scores are produced by AI models and can be incomplete or wrong. They are an aid to your review, not a decision. You must not make hiring decisions based solely on automated scores.

08Availability and changes

We aim to keep Cohort available but do not guarantee uninterrupted service, particularly during the beta. We may change or discontinue features and will give reasonable notice of changes that materially reduce the service.

09Liability

Cohort is provided "as is". To the extent the law allows, we are not liable for indirect or consequential losses, lost profits or hiring outcomes, and our total liability in any twelve months is limited to the amount your organisation paid us in that period. Nothing in these terms limits liability that cannot be limited by law.

10Ending use

The owner can delete the organisation at any time from its settings. We may suspend or end access if these terms are seriously breached. When an organisation is deleted its jobs close and its members leave it; personal data is then handled as described in the Data Processing Agreement.

11Changes to these terms

We may update these terms. We will tell organisation owners about material changes in advance, and continued use after a change takes effect means you accept it.

12Governing law and contact

These terms are governed by the laws of Sweden, and disputes are settled by the courts of Sweden unless mandatory law says otherwise. Questions about these terms can be sent to legal@cohort.example.
